Before sending a PowerPoint file to someone else, you may want to remove its speaker notes. Even when the notes are not visible on the slides, anyone who receives the PPTX can open the notes area.

If you used the notes for a script or private reminders, deleting them one slide at a time is tedious. PowerPoint's Document Inspector can remove note text in one operation.

If you do not have PowerPoint installed, Browser Kitty's Office Privacy Inspector can inspect and remove speaker notes in your browser, then save a cleaned copy. In either case, keep the original file.

Open Office Privacy Inspector

1. Keep a copy of the original PPTX

Speaker notes may still be useful when presenting the material again. Keep the original PPTX separate from the copy you plan to share.

If you use PowerPoint, start with Save As to create a sharing copy. Office Privacy Inspector makes a separate output file without overwriting the source.

2. Remove all notes with PowerPoint's Document Inspector

In a supported desktop version of PowerPoint, open the sharing copy, then go to File → Info → Check for Issues → Inspect Document. Menu labels can vary by version.

Make sure Presentation Notes is included, select Inspect, then choose Remove All for that category. Use Reinspect to check the result, and save the file.

Microsoft documents this inspector as removing note text, not pictures placed in the notes area. Review notes containing pictures or other material separately.

3. Open the PPTX in your browser instead

Open Browser Kitty's Office Privacy Inspector and use Choose file to load a PPTX. You can also drag and drop it on a computer. No account or installation is needed.

After loading, check the sharing summary and PowerPoint-specific findings for Speaker notes. Review the identified slides and note excerpts before deciding what to remove.

Cleanup is supported for ordinary PPTX files. Password-protected files and old PPT files are unsupported; macro-enabled PPTM files can be inspected but not cleaned.

4. Select Remove all speaker notes

In the cleanup options, select Remove all speaker notes. This option is off by default, so you must enable it explicitly.

To remove notes from only certain slides, select the individual speaker-note entries instead. Leave notes you still need unselected.

Some basic metadata fields, such as creator and last modified by, may already be selected for removal. If you want to remove only notes, clear any other checked items first.

5. Create and save the cleaned copy

Select Create cleaned copy. Removing notes in bulk can show a confirmation dialog; check what will be deleted before proceeding. The original PPTX is not overwritten.

The app automatically reinspects the result and shows Before/After counts and remaining findings. Check the speaker notes result, then choose a filename and download the cleaned PPTX.

If reinspection fails, do not assume the notes were removed. Open the saved presentation in PowerPoint or another compatible program, and review the slides and notes area.

6. Check hidden slides and comments separately

Removing notes does not automatically remove hidden slides, text or objects placed outside the slide area, or comments. Check the sharing copy for anything else you do not want recipients to see.

Office Privacy Inspector can flag hidden slides and off-slide objects, but it does not automatically remove them. PowerPoint comments have their own optional cleanup setting.

A zero count in the inspector does not mean the slides, diagrams or embedded images are free of sensitive information. Review the actual presentation before sharing.

7. When note removal is unavailable

Office Privacy Inspector may be unable to clean password-protected PPTX, old PPT files, or packages containing macros or ActiveX. Signed files and files with incomplete inspection are restricted to inspection only.

In these cases, open a copy in a compatible version of PowerPoint, check its format and protection settings, and try Document Inspector. If signatures or macros must remain intact, review the consequences before changing the file.

You may not be able to recover deleted notes from the sharing copy. Keep the original file so you can reuse the notes later.

Is the PPTX uploaded to a server?

Office Privacy Inspector loads, inspects, cleans and reinspects the PPTX in your browser. It does not upload the selected file to an external conversion server.

The hosted version uses the network to load the HTML initially, but its Content Security Policy restricts outgoing processing connections. The distributed standalone HTML can work offline in a compatible browser.
